Reservation and Booking Guidelines

Booking Confirmation

To secure your reservation, please make arrangements in advance either through our website or via email. Kindly note that bookings are only confirmed upon receipt of payment. Payment can be made online through the link we provide or via bank transfer upon request.

For last-minute bookings and reservations in Ilulissat, please visit I Love Ilulissat Tours in person. Payment can be made on-site via our online link or in local currency (DKK).

The reservation will be under the names provided during booking. Any changes to guest names must be communicated to I Love Ilulissat Tours to avoid being marked as a no-show.

Confirmation

When booking tours online, a receipt is automatically generated as confirmation of your payment. For on-site bookings, your guide can issue an invoice, which will serve as your ticket.

Cancellations

I Love Ilulissat Tours reserves the right to modify or cancel tours under certain circumstances, including unfavorable weather or ice conditions, technical issues, or force majeure events beyond our control that may compromise the safety of the tour. The final decision to proceed with a tour rests with the captain or guide based on safety considerations.

In the event of a cancellation due to the reasons mentioned above, a full refund will be issued to customers.

Shortened Tours

Tours may be shortened or adjusted if deemed necessary by the captain or guide due to sudden weather changes or technical issues.

While compensation for shortened tours is not guaranteed, we will assess each case individually to ensure the best possible experience for our guests.

Tour Cancellation Policy

Once a booking is confirmed in our system, the following cancellation terms apply:

• Up to 5 weeks before arrival: Free cancellation

• Between 5 and 3 weeks before arrival: 50% cancellation fee

• Within 3 weeks before departure: 100% cancellation fee

We will do our best to reschedule tours at no additional cost within the given travel period, although this cannot be guaranteed. We strongly recommend that guests obtain travel insurance that covers potential losses in the event of tour cancellations.

Tour Date Changes

I Love Ilulissat Tours reserves the right to adjust tour dates and times within the guest’s travel period as necessary due to weather conditions or to meet minimum participant requirements. If a tour is canceled and cannot be rescheduled within the guest’s travel period, a refund will be issued.

Privacy Policy

We are committed to protecting the privacy of visitors to our website by:

• Sharing personal information such as name and age entered in our booking system only with staff, insurance providers, advisors, agents, suppliers, and other relevant parties involved in the booking process. We do not share personal data with third parties for direct marketing purposes.

• Retaining personal data only as long as necessary in accordance with Danish legal guidelines.

• Storing all personal information on a secure server protected by firewall and password access.

• Encrypting and securing all payments made through our website using industry-recommended technology. Please note that data transmission and payment over the internet carry inherent risks, and we cannot guarantee the complete security of data sent online.

• Giving customers access to their stored personal data, such as name and payment method. Customers may also request to be removed from our internal marketing lists if they no longer wish to receive promotional content.

• Clarifying that our website may contain links to third-party websites, for which we are not responsible regarding their privacy practices.

• Declaring that our website is owned and operated by I Love Ilulissat Tours, which is also responsible for this privacy policy.

Customer Insurance

We strongly recommend that customers purchase individual travel insurance that not only covers cancellation costs but also personal injury in case of accidents abroad. While there is a hospital in Ilulissat, severe injuries may require treatment in Nuuk, Reykjavik, or Copenhagen, potentially incurring high medical expenses.

In the event of an accident caused by our staff or equipment, I Love Ilulissat Tours holds comprehensive liability insurance for proven damages directly attributable to the company or its employees. Please note, however, that this insurance does not cover personal belongings, which should be insured under the customer’s own policy.

Complaints

Any complaints must be reported promptly to I Love Ilulissat Tours, clearly stating the conditions and circumstances of concern. Ideally, complaints should be addressed with our staff on-site for immediate resolution. If on-site resolution is not possible, written complaints should be submitted as soon as possible for timely action. Complaints received more than 3 weeks after the incident may not be processed.

Changes to Terms and Conditions

We reserve the right to modify our terms and conditions without prior notice, with updates reflected on our website. We recommend reviewing the website for any changes between bookings.
